1. Scope and who we are

Arden Meridian LLC (“Arden Meridian,” “we,” “us,” or “our”) is a North Carolina limited liability company that provides geospatial and property-intelligence services. This notice applies to information handled through ardenmeridian.com, public forms, email and sales communications, sample-report requests, and similar business-development activities.

A paid client engagement, the Meridian Atlas client application, or a separately governed service may be subject to additional agreements, notices, or instructions. When those documents conflict with this notice for a specific engagement, the more specific document controls for that engagement.

2. Information we collect

Information you provide

• Contact and professional information, such as name, work email, company, role, and service territory.
• Request details, such as report type, business objective, target property profile, geography, timing, and project notes.
• Communications and records, including messages, attachments, meeting notes, proposals, and follow-up correspondence.
• Account or client information when you access a separately authenticated Arden Meridian service.

Website and device information

• Pages viewed, links or buttons selected, form-start and form-completion events, approximate time of activity, and referring page.
• Campaign information such as UTM source, medium, campaign, term, content, and initial landing page.
• Technical information such as browser type, device type, operating system, network information, IP-derived approximate location, and diagnostic data.

Business, property, and public-source information

In connection with sample preparation, sales evaluation, or client work, we may receive or assemble business and property information from clients, vendors, publicly available records, licensed datasets, imagery providers, geospatial services, websites, and other permitted sources. This may include business contact information, property attributes, parcel context, imagery, permits, ownership-related records, and analyst observations. The exact information depends on the territory, source availability, permitted use, and engagement objective.

Do not submit Social Security numbers, payment-card data, account passwords, classified information, export-controlled information, protected health information, or other highly sensitive material through the public contact form.

3. Sources of information

We may obtain information:

• Directly from you, your company, or people acting on your behalf.
• Automatically from your browser or device when you use the website.
• From service providers supporting hosting, analytics, communications, lead routing, security, and customer-relationship management.
• From public records, government portals, public websites, licensed data providers, imagery sources, geospatial services, and other sources permitted for the applicable use.
• From referrals, professional networks, events, and publicly available business directories.

4. How we use information

• Respond to inquiries, evaluate service fit, prepare relevant samples, and communicate about potential engagements.
• Create, review, deliver, and improve property-intelligence services and related workflows.
• Operate, personalize, secure, troubleshoot, and measure the website and client experience.
• Maintain lead, client, project, contractual, compliance, accounting, and operational records.
• Detect spam, fraud, misuse, security incidents, and unauthorized activity.
• Understand which pages, campaigns, referrals, and communications contribute to legitimate business inquiries.
• Comply with law, enforce agreements, establish or defend legal claims, and protect people, property, and systems.
• Send business communications where permitted, including responses, service updates, and marketing communications that recipients can opt out of when required.

5. Analytics, cookies, and browser storage

The website uses hosting, performance, and analytics services, including Vercel Analytics and Speed Insights. These services may process technical and usage information to help us understand site reliability, performance, and aggregate visitor behavior.

We also use session-based browser storage to preserve first-touch landing-page, referral, and campaign information while you move through the website. Browser settings may allow you to limit cookies or storage, but some site functions or attribution information may not work as intended.

We do not place project descriptions or other intentionally sensitive form content into website analytics events. Form contents are routed through the website’s lead-delivery process rather than used as general analytics properties.

6. How information is disclosed

We may disclose information to:

• Hosting, analytics, cloud infrastructure, communications, CRM, document-storage, security, and professional-service providers performing work for us.
• Employees, contractors, and authorized representatives who need the information for legitimate business purposes and are subject to appropriate obligations.

Service providers may process information in locations different from your own and operate under their own legal obligations. We select and use providers for legitimate operational purposes, but no third-party system can be guaranteed risk-free.

7. Sale, sharing, and targeted advertising

Arden Meridian does not sell personal information collected through the public website. We also do not currently share website-submission information for cross-context behavioral advertising or use it to build advertising profiles unrelated to our services.

We may disclose information to service providers and business partners for the operational purposes described in this notice. Those operational disclosures are not intended as sales of personal information. If our practices materially change, we will update this notice and provide legally required controls.

8. Retention and disposal

We retain information for periods reasonably necessary for the purposes described above, including responding to inquiries, managing prospective and active client relationships, delivering services, maintaining business and tax records, resolving disputes, supporting security, and complying with legal obligations. Retention periods vary based on the information, relationship, source restrictions, contractual requirements, and operational need.

When information is no longer reasonably required, we may delete, de-identify, aggregate, or securely dispose of it, subject to backups, legal holds, fraud-prevention needs, and other permitted exceptions.

9. Security and incident response

We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information and the size and operations of our business. Measures may include access controls, authentication, vendor controls, encrypted transmission, logging, backups, and procedures for handling suspected incidents.

No website, network, storage system, or transmission method is completely secure. You should use appropriate care when sending information electronically. If a security incident triggers a legal notification obligation, we will provide notice as required by applicable law.

10. Your choices and privacy rights

Arden Meridian is based in the United States. Our systems and providers may process information in the United States or other jurisdictions whose privacy laws differ from those where you live. By using the website or communicating with us, you understand that information may be processed in those locations, subject to applicable law and contractual safeguards where required.

12. Children

The website and services are intended for businesses and professionals, not children. We do not knowingly solicit personal information from children under 13 through the public website. If you believe a child submitted information, contact us so we can review and take appropriate action.
